Responsibilities

  • Ensure a smooth operation at the Reservations Department and good operation with other related Departments such as Sales & Marketing, Front office, Food & Beverage and Finance.
  • Assist in and prepare groups’ pre-arrival process and prepare group rooming lists as requested.
  • Manage all incoming reservations, including phone, email, and online bookings. This includes processing reservations, confirming availability, and providing guests with relevant information regarding their stay.
  • Maintain accurate guest records, including personal and payment information, preferences, and special requests.
  • Ensure that guest profiles are up-to-date and reflect any changes to their reservation.
  • Collaborate closely with the sales and revenue management team to maximize occupancy and revenue by upselling room types, promoting packages and promotions, and utilizing revenue management strategies.
  • Provide exceptional customer service to all guests, ensuring that their needs and requests are met promptly and efficiently.
  • Be able to anticipate and address guest concerns, providing solutions and alternatives as necessary.
  • Collaborate closely with other departments, including housekeeping, maintenance, and food and beverage, to ensure that all guest needs are met during their stay.
  • Coordinate with these departments to ensure that any special requests are fulfilled, and that any issues are addressed promptly.
  • Fully utilize reservation management systems to process reservations, manage inventory, and generate reports.
  • Ensure that all systems are up-to-date and accurate, and that data is entered in a timely and efficient manner.
  • Understand and maintain the daily pick-up report and reservations made/cancelled reports.
  • Carry out an audit for commission check e.g. OTAs, Onyx, etc
  • Other ad-hoc assignments and projects as needed.

Requirements

  • Diploma in Hospitality Management, Hotel Management, Tourism, Business Administration, or a related field.
  • A degree is an added advantage but not mandatory.
  • Certification or training in hotel reservation systems or property management systems (e.g. OPERA Cloud, OPERA PMS, HMS, SynXis, or equivalent) is preferred.
  • Demonstrates technical competency in reservation operations.
  • Proficiency in English (written and spoken), with strong computer literacy in Microsoft Office applications.
  • Additional language proficiency is an advantage to support international guests.
  • Proficient in computer skills, including MS Office, Teams, Zoom etc.
  • Good command of written and spoken English.
  • Passionate and enthusiastic with a positive ‘can-do’ attitude.
